Checklist

How to plan a company headshot day.

Most headshot days that go wrong fail on scheduling and communication, not photography. Here is the checklist we use with clients.

Three to four weeks out

  • Pick a date that avoids all-hands, travel weeks and quarter-end
  • Book a room or quiet corner with one power outlet
  • Decide the look: background, crop, how formal
  • Collect a few examples of photos you like

Two weeks out

  • Send the booking link with a short note on why it matters
  • Reserve the first slots for executives
  • Share a what-to-wear guide
  • List remote staff and new hires for a follow-up session

The day before

  • Send a reminder with the room and their time
  • Confirm building access or visitor badges for the crew
  • Make sure the room is clear and the outlet works

After

  • Share the gallery with whoever updates the website and directory
  • Book follow-ups for anyone who missed the day
  • Set a cadence for new hires so the page stays current
